Baby Shower Itinerary: The Hour-by-Hour Template

The ideal baby shower itinerary runs about two to two and a half hours: guests arrive and mingle for the first 30 minutes, food and chatting fill the next 45, one or two games take 30, gift opening gets 30, and cake plus goodbyes wrap the last 15 to 20. That’s the whole formula, friend — long enough to feel like a party, short enough that nobody’s sneaking glances at the door. Below is the full hour-by-hour template, plus versions for brunch, coed and virtual showers, and the flow rules that keep the afternoon humming.
The hour-by-hour baby shower itinerary
Here’s the template for a classic 2:00 p.m. shower. Shift every line earlier or later to match your start time — the proportions are what matter.
1:00 — Hostess setup hour. Decor went up yesterday (that’s the rule — see the baby shower planning checklist for the full countdown). Today is fresh food out, drinks iced, playlist on, candles lit, phone charged.
1:45 — Mom-to-be arrives. Fifteen minutes early, so she’s settled and glowing instead of walking into a room mid-scramble. Show her where her chair is, hand her a drink, take the “before” photos now while the table is untouched.
2:00 — Doors open, mingle + sips. Guests trickle in for a solid half hour. Have drinks ready to grab and one low-effort icebreaker out — a guess-the-baby-photo board or an advice-card station works because people can wander up to it.
2:30 — Food. Open the buffet or pass the boards. Don’t wait for stragglers; eating is the social glue of the whole event and it happily absorbs late arrivals.
3:00 — Games (one or two, max). Play them while people are still seated and fed. Two crowd-pleasers beat five fillers — pick ones the whole room can play from their chairs.
3:30 — Gifts. Seat the mom-to-be where everyone can see, assign one friend to hand her packages and another to write down every gift and giver — the thank-you notes depend on that list. Thirty minutes covers a typical guest list; keep it moving by having the next gift ready in her lap.
4:00 — Cake, favors, farewells. Cut the cake, take the group photo before anyone slips out, and station the favors by the door so goodbyes hand themselves out.
4:15–4:30 — Soft landing. The invite said 4:00 or 4:30 for a reason: everyone leaves on a high note, and the mama gets her feet up before dinner.
Why two hours is the magic number
Showers stall when they sprawl. A pregnant guest of honor is comfortable for about two hours of sitting, smiling and being celebrated — after that, her back and bladder have opinions. Guests, meanwhile, arrive with a two-hour mental budget. Put an end time on the invitation (wording ideas here) and the whole room relaxes, because everyone knows the shape of the afternoon.
Itinerary swaps for other shower styles
Brunch shower (my favorite): 10:30 arrival, food at 11:00, games at 11:45, gifts at 12:15, cake at 12:45, done by 1:00. Brighter photos, cheaper menu, whole afternoon left over.
Coed evening shower: 5:00 arrival, heavier food at 5:30, one team-style game at 6:15, gifts at 6:45 (or skip the public opening — couples’ showers often do a display table instead), dessert at 7:15.
Virtual shower: compress everything — 60 to 75 minutes total. Ten minutes of hellos, one game, twenty minutes of gift opening (pre-opened “favorites reel” is kinder to attention spans), cake toast, done.

Five flow rules that save every shower
- Games before gifts. Games wake the room up; gift opening winds it down. Never reverse them.
- Cake is the closer. Serving cake signals “the party is landing” — use it on purpose.
- Assign the gift scribe in advance. Mid-party volunteers write down half the list.
- Build in buffer. Everything runs ten minutes long. The template above already forgives that.
- The mom-to-be does nothing. She doesn’t refill, fetch or clear. Her itinerary is: arrive, glow, leave with gifts.
